Email & Social Media Policy

Mindwindow Psychology has developed this Email and Social Media Policy for the primary purpose of protecting client privacy and confidentiality and maintaining ethical boundaries. This Email and Social Media Policy is compliant with the Australian Health Practitioner Regulation Agency (AHPRA) Social Media Policy (2014), the Australian Psychological Society (APS) Code of Ethics, and Section 133 of the Health Practitioner Regulation National Law (Qld).

Definitions

References to “Mindwindow Psychology”, “Mindwindow”, “we”, “us”, and “our” are references to Mindwindow Psychology PTY LTD, The Trustee for Mindwindow Psychology Trust ABN 22 688 972 996. References to “you”, “your”, “client” and “clients'” are references to any individual who engages with our social media platform/s.

Why do we use social media?

Mindwindow Psychology uses social media to inform clients, health professionals, and the public about the latest in research and health-related resources. We also use our social media platforms to share quotes and positive messages. Please note that these posts are not intended to replace the advice of a qualified mental health professional and may not reflect the views of your practitioner.

Engaging with us on social media

Please be advised that we cannot guarantee your privacy if you choose to follow our page/s or ‘like’, ‘comment’ on, or ‘share’ our social media posts. Some people may use usernames that are identifiable which may inadvertently disclose their relationship with our practice. We encourage you to be cautious about the information you disclose on our social media platforms.

Leaving reviews on Google/Facebook or other third-party review websites

Some clients use online reviews to make decisions about their choice of practitioner and treatment options. Reviews can appear on Google, social media pages, business websites, a service directory or booking site, discussion forums, a search engine, or a review platform. Whilst reviews can be helpful, it’s important to note the following –

  • Reviews are often personal opinions and may have no objective basis for recommending a registered health practitioner or health service.
  • The outcomes experienced by one client do not necessarily reflect the outcome, or likely outcome available to all clients.  
  • Reviews can be misleading as they are not usually a balanced source of information (they often include a selection of positive comments about experiences and do not tell the whole story), and/or
  • The public may not have expert knowledge to assess if the information is accurate.

For these reasons, Section 133 of the National Law prohibits health practitioners from using reviews to advertise a regulated health service. Please note that our practice will never solicit client reviews or testimonials, or use your feedback/reviews for advertising purposes. 

Replying to reviews on Google/Facebook or other third-party review websites

Whilst we may ‘react’ and reply to reviews posted on the abovementioned platform/s, we will endeavour to keep our replies as ‘neutral’ as possible for the purpose of protecting your privacy. If you wish to share any concerns or negative experiences, we encourage you to contact us via phone or email so that we can address your concerns without breaching your privacy. Friend Requests on Social Media

For the primary purpose of protecting your privacy and maintaining ethical boundaries, we request that former or current clients do not send ‘friend requests’ to individual practitioners or employees of Mindwindow Psychology. Such requests can not be accepted or responded to.

Requests submitted via social media

Whilst social media is convenient, it is not our primary method of communication. To ensure that we can protect your privacy and reply to you in a timely manner, please send all requests via email to [email protected] or call us on 07 5502 9727.

Email

Mindwindow Psychology primarily uses emails to communicate with clients for the purpose of discussing administrative matters (such as appointment bookings) or providing links to online resources. Please be advised that the Telecommunications (Interception and Access) Act 1979 requires telecommunications companies to retain a particular set of telecommunications data for at least 2 years.

These obligations ensure Australia’s law enforcement and security agencies are lawfully able to access data, subject to strict controls. While it is unlikely that anyone would be looking at this information, access to data is central to almost all serious criminal and national security investigations.

Please be aware that any communication sent via email will be retained by Mindwindow Psychology and may form part of your clinical record.
